Hail matrix (Setup Guide)

You can set up a hail matrix to predetermine the price you want to charge for a specific hail damage repair service.

Required Subscriptions

  • Features: Hail Damage Package, Labor Price Type (optional)

Basic Workflow

  • Create a hail repair service

  • Create additional services

  • Assign additional services to vehicle parts

  • Configure damage size and severity

  • Create a hail matrix

  • Assign hail matrix to an inspection type

Create a hail repair service

A hail repair service is a service which amount is calculated based on the hail matrix settings. It is the main service that technicians select while creating hail damage inspection or work order on device.

To create a hail repair service

  • On the Company tab, click Services, and then on the Services page, click Add on the toolbar.

  • In the Service dialog box, type the name in the Service Name box, click Hail Damage Repair in the Service Type box, click Price Matrix in the Price Type box, and then click OK.

Create additional services

An additional service is a service that is used as a surcharge when there is a need to adjust the total amount of the main service. For example, if there are oversized dents on some panels or the panels are made from aluminum, the hail repair work should cost more than it is predetermined by the hail matrix settings.

Note Additional services of the Money price type and the Labor price type add a fixed amount to the total amount of the main service, while additional services of the Percentage price type add an amount which is calculated as percent from the total amount.

To create an additional service

  • On the Company tab, click Services, and then on the Services page, click Add on the toolbar.

  • In the Service dialog box, type the name in the Service Name box, click Hail Damage Repair in the Service Type box, and, if needed, select the Multiple check box.

  • To create a percentage service, click Percentage in the Price Type box, type the appropriate values in the Wholesale Percent box and the Retail Percent box, and then click OK.

  • To create a money service, click Money in the Price Type box, type the appropriate values in the Wholesale Price box and the Retail Price box, and then click OK.

  • To create a labor service, click Labor in the Price Type box, type the appropriate values in the Wholesale Price box and the Retail Price box, and then click OK.

Tip If you want to create a labor service with labor time standards, select the Use Labor Times check box, click the appropriate operation in the Operation box, and then select the Required check box next to the Vehicle Parts link.

Assign additional services to vehicle parts

Additional services are added per vehicle part, so you need to assign additional services to vehicle parts.

To assign an additional service to a vehicle part

  • On the Company tab, click Vehicle Parts, and then on the Vehicle Parts page, click Edit next to the appropriate vehicle part.

  • In the Vehicle Part dialog box, move the appropriate additional services from the Available Services box to the Assigned Services box, and then click OK.

Configure damage size and severity

Damage size and damage severity are price matrix dimensions.

  • Damage size specifies the approximate diameter of dents on a vehicle part.

  • Damage severity specifies the approximate quantity of dents on a vehicle part.

To add a damage size

  • On the Company tab, click Damages, and then click Add on the Damage Sizes toolbar.

  • In the Damage Size dialog box, type the name of the damage size in the Name box, and click OK.

Tip Usually coin names, such as dime, nickel, and quarter are used as damage size names.

To add a damage severity

  • On the Damage Severities toolbar, click Add.

  • In the Damage Severity dialog box, type the name of the damage severity in the Name box, enter the number of dents in the From box and the To box to define damage severity thresholds, and click OK.

Tip If you want damage severity thresholds to be shown on inspection printouts you should add them to the damage severity name, for example, VERY LIGHT 1-5.

Note You can sort damage sizes to set their order in the Available Damage Sizes box on the Damage Sizes tab of a price matrix that you create or edit.

Create a hail matrix

A hail matrix is a pricing function that is used for the calculation of hail repair service amount based on damage size and severity.

To create a hail matrix

  • On the Company tab, click Price Matrices, and then on the Price Matrices page, click Add on the toolbar.

  • In the Price Matrix dialog box, in the Matrix Name box, type the price matrix name, in the Matrix Service box, click the service that you want to assign to the given price matrix.

Note If your Back Office application is subscribed to the Labor Price Type feature, you can also select price matrix type. If you select the Money type, the price is set as money amount, while if you select the Labor type, the price is set in hours and the price matrix service amount is calculated as time multiplied by the hourly rate of assigned technicians.

  • In the Dimensions section, on the Damage Severities tab, move the appropriate damage severities from the Available Damage Severities box to the Assigned Damage Severities box.

Tip You can use the Move Up button and the Move Down button, to set the order in which damage severities are shown.

  • In the Dimensions section, on the Damage Sizes tab, move the appropriate damage sizes from the Available Damage Sizes box to the Assigned Damage Sizes box.

Tip You can use the Move Up button and the Move Down button, to set the order in which damage sizes are shown.

  • In the Dimensions section, on the Vehicle Parts tab, move the appropriate vehicle parts from the Available Vehicle Parts box to the Assigned Vehicle Parts box, and then click OK.

  • On the Price Matrices page, click the Prices link next to the appropriate price matrix.

  • Enter prices for the selected damage severity, and then click Save Prices, select the next damage severity, enter its prices, and then click Save Prices; when prices for all damage severities are specified, click Save Prices for the last time.

Note If the Money type is selected, the price matrix unit is the money amount, while if the Labor type is selected, the price matrix unit is time.

Tip If the price for some dimensions is not specified, you can leave the appropriate cell empty.

On this page, you can also assign additional services which are available for the listed vehicle parts.

To assign additional services to a vehicle part

  • Click the appropriate vehicle part, and then in the Vehicle Part dialog box, move the appropriate additional services from the Available Services box to the Assigned Services box, and click OK.

Assign hail matrix to an inspection type

You need to assign hail matrix to inspection types to make it available for adding hail repair service to inspections of particular types.

Note You can assign multiple price matrices to one inspection type to let technicians choose the appropriate price matrix on device while adding price matrix service to an inspection of this type.

To assign a hail matrix to an inspection type

  • On the Company tab, click Inspection Types, and then on the Inspection Types page, click Edit next to the appropriate inspection type.

  • In the Inspection Type dialog box, on the Price Matrices tab, move the appropriate vehicle parts from the Available Vehicle Parts box to the Assigned Vehicle Parts box, and then click OK.
